Media production is one of the most complex project types in existence. A single feature film might involve hundreds of crew members, thousands of individual shots, multiple shooting locations, and months of post-production work—all of which must converge on a delivery date that is non-negotiable because theatrical release, broadcast slots, and streaming deals have been locked in months or years in advance.

Without rigorous schedule management, productions blow budgets by millions and miss deliveries that trigger contractual penalties. A Gantt chart is the foundational scheduling tool for production—from pre-production planning through post-production delivery.

Pre-Production Gantt (12–26 Weeks Before Principal Photography)

Pre-production is where the production schedule is born, the budget is locked, and every decision that enables efficient shooting gets made. A compressed or under-resourced pre-production is the leading cause of on-set chaos.

Development and Prep Phase (Weeks -26 to -18)

  • Script lock — final screenplay approved; all major revisions complete before this milestone
  • Budget top-sheet finalization — overall production budget approved by producers and financiers
  • Department head hiring — production designer, DP, costume designer, sound mixer, VFX supervisor
  • Location scouting — recce trips, shortlist development, scout reports
  • Casting sessions — auditions, callbacks, offers
  • Cast deals closed — milestone; determines shooting schedule constraints around actor availability
  • Key crew deals closed — DP, AD, production designer

Dependencies: the shooting schedule cannot be built until cast deals are closed, because actor availability windows, deal memos with restricted days, and travel requirements all constrain which scenes can shoot on which days.

Production Design Phase (Weeks -18 to -8)

  • Production design concept development — visual research, concept art, mood boards
  • Set design — architectural drawings for builds
  • Set builds — construction on stage or location; typically the longest lead item
  • Art department dressing — furniture, props, dressing materials procured and dressed
  • Costume design and construction — principal cast fittings, period or specialty costume construction
  • Props list and procurement — hero props, breakaways, picture vehicles

Set builds drive the earliest start dates for shooting. If a key set won't be ready until week 2 of principal photography, scenes that take place in that set must be scheduled for week 2 or later. The Gantt makes this dependency explicit—construction completion gates certain shooting days.

Scheduling and Logistics Phase (Weeks -12 to -4)

  • Preliminary shooting schedule — strip board development organized by scene number
  • Location agreements finalized — permits, location fees, neighbor notifications
  • Crew department prep — all department heads in prep, ordering equipment and materials
  • Equipment orders confirmed — camera packages, lighting packages, grip equipment
  • Script breakdown complete — every element (cast, locations, props, VFX) tagged by scene
  • Final shooting schedule — one-liner and day-out-of-days published
  • Technical recce — key crew walk locations and stages to finalize lighting and camera plans
  • Production meetings — department alignment on upcoming shoot days

The final shooting schedule is the master Gantt for principal photography. It shows every shoot day, the scenes planned for that day, the cast required, the location, and the expected page count. It's typically organized by physical location to minimize company moves.

Principal Photography Gantt

Principal photography is the most expensive phase of production. Every idle shooting day costs tens of thousands to hundreds of thousands of dollars, depending on the production's scale.

The shooting schedule Gantt is organized differently from most project Gantts:

  • Rows = crew call time, shoot day, scenes
  • Milestones = company moves to new locations, cast turnarounds, equipment returns
  • Critical path = the sequence of locations that, if delayed, push the wrap date

Key production Gantt tasks:

  • Shoot days by location — cluster location scenes to minimize moves
  • Stage days — controlled environment shoots; often more efficient
  • Day/night sequences — company turnaround requirements (minimum rest periods between wrap and next call)
  • Scheduled days off — typically 1 day off per 5-6 shoot days under union agreements
  • Weather cover days — exterior shoots need cover scenes available if weather is bad
  • Stunt sequences — require additional prep time, safety meetings, special equipment
  • VFX plates and interactive lighting — scenes involving significant VFX require VFX supervisor on set and additional setup time
  • Pick-up days — schedule a small number of pre-planned pick-up days at the end of principal photography

Daily Progress Tracking

Each shooting day, the production reports actual pages shot vs. planned pages. A production that consistently shoots fewer pages than planned will run over schedule unless the schedule is compressed. The Gantt should track cumulative pages shot vs. planned to give early warning of schedule drift.

Post-Production Gantt (Principal Photography Wrap to Delivery)

Post-production is where the production finally comes together—and where many productions discover how much work remains. The post-production Gantt typically covers 4–16 weeks for short-form content and 12–52 weeks for feature films.

Editing Phase

  • Picture editorial assembly cut — editor assembles first cut from dailies; often runs in parallel with final weeks of photography
  • Director's cut — director takes over editorial from editor; typically 10 weeks (or contractually defined)
  • Producer/studio cut — producers and studio provide notes; revision period
  • Test screenings (if applicable) — audience research screenings, note collection
  • Picture lock — final cut of the film approved; no further picture changes permitted; critical milestone

Picture lock is one of the most important milestones in post-production. Everything downstream—VFX, music, sound, color—starts from the locked picture. Unlocking picture after post has begun cascades rework across multiple departments.

VFX and Animation Phase

VFX typically runs in parallel with late editorial:

  • VFX shot list finalized — complete list of VFX shots with descriptions and priorities
  • Vendor bidding and selection (if outsourced)
  • VFX editorial — VFX editor maintains offline VFX cuts for each sequence
  • Concept and design approval — visual development for complex VFX before production begins
  • VFX production — actual CGI, compositing, and effects work; this is the long phase
  • VFX review rounds — typically 3–5 rounds of review and revision per shot
  • VFX finals delivered — completed VFX shots delivered to picture editorial
  • Online editorial — completed VFX integrated into picture cut for color

For VFX-heavy productions, the VFX Gantt may be the critical path. Complex VFX can take 3–6 months even with an experienced vendor team.

Sound Post-Production Phase

Sound design and music are often underestimated in the schedule:

  • Production sound turnover — production dialogue audio delivered to sound department
  • Dialogue editing — clean and organize production dialogue
  • ADR (Automated Dialogue Replacement) recording — sessions with cast to re-record problem dialogue
  • Sound design — create and edit sound effects, ambience, Foley
  • Foley recording — footsteps, cloth movement, prop sounds recorded
  • Music composition — score written and recorded (composer typically has 4–8 weeks)
  • Music recording sessions — live orchestra or ensemble recording (if applicable)
  • Music licensing — clear any licensed music used in the film
  • Pre-mix — balance dialogue, music, and effects at lower fidelity
  • Final mix — full-quality mix in mixing theater; typically 2–5 days depending on length
  • M&E (Music and Effects) mix — version without dialogue for international distribution

Color Grade

  • Online editorial — completed visual effects integrated into locked picture
  • Color grade prep — conform, grade prep, LUT development
  • Color grade sessions — director and DP in the suite with colorist; typically 3–10 days
  • Color approval — director and studio approve final look
  • Color deliverables — multiple format deliverables from grade

Delivery and Distribution Phase

  • Delivery specifications confirmed — collect tech specs from each delivery recipient
  • DCP (Digital Cinema Package) mastering — theatrical delivery format
  • Streaming platform deliverables — IMF package, ProRes files, HDR versions
  • Broadcast deliverables — format conversion for broadcast standards
  • Subtitle and caption files — closed captions, SDH, international subtitles
  • Marketing materials — still frames, key art assets delivered from post
  • Final quality control — QC review of all deliverables; critical before delivery
  • Delivery to distributor/platform — physical or digital delivery
  • Delivery confirmation — milestone; receipt confirmed by recipient

Distribution Milestones

  • Festival premiere (if applicable) — fixed external date
  • Theatrical release date — fixed external date
  • Streaming premiere — fixed external date
  • Broadcast airdate — fixed external date

These are the external deadlines that make the entire post-production Gantt a backwards-planned schedule. Work backward from delivery date to determine when picture lock, VFX finals, final mix, and color grade must be complete.

Managing the Production Gantt

Production scheduling software (Movie Magic Scheduling, StudioBinder) handles the shooting schedule's unique strip-board format. This integrates with traditional Gantt charts for overall production planning but isn't a general Gantt tool.

Post-production Gantt works well in standard project management tools because the dependencies are clearer and the team is more stable than during production.

Daily updates matter. The shooting schedule must update daily to reflect actual pages shot and any sequence changes. A production Gantt that's three days out of date is useless.

Float is expensive. In media production, float is dollars. Every idle day for a production crew costs money. The Gantt should flag any sequence where there's float that could be used to compress the schedule and reduce costs.

A media production Gantt chart, maintained rigorously from pre-production through delivery, is the difference between a production that delivers on time and budget and one that makes news for the wrong reasons.
