Hotel Construction and Opening Project Plan Gantt Chart
The Problem: Hotel Projects Have a Construction Schedule and an Opening Schedule
A hotel is not complete when construction finishes. A completed hotel building without trained staff, operating systems, functioning PMS (property management system), stocked back-of-house, and brand-required inspections passed is not a hotel—it's an empty building. Hotel developers and owners who plan only to the Certificate of Occupancy consistently miss their advertised opening date by 4-8 weeks because they haven't planned the operational opening as a project in its own right.
Hotel construction also carries brand standard constraints that other construction projects don't. If you're building a Marriott, Hilton, IHG, or Hyatt property under a franchise or management agreement, every design decision from lobby ceiling height to guest room millwork must be approved through the brand's technical services department. Brand approval cycles add 4-12 weeks to design phases and can require costly redesigns if submissions are rejected. Operators who don't schedule brand reviews explicitly find themselves in a cycle of submission, revision, and resubmission that pushes their opening date by months.
gantt-chart.io lets hotel developers build a single project plan that covers both the construction and operational opening tracks—so the GM is hired, the staff is trained, and the PMS is configured before the first guest walks in the door.
Prerequisites
Before building your hotel construction and opening project plan:
- Brand / flag: Franchise or management agreement brand and their technical services requirements
- Property type: Select service, full service, extended stay, boutique independent
- Key count: Number of guest rooms—drives FF&E volume and staff hiring scale
- Site status: Land under contract, owned, or under construction
- Operator: Management company or owner-operator
- Brand approval status: Pre-opening coordination with brand's project management team started
- FF&E designer: Interior designer specializing in hospitality
- Opening date target: Often tied to a specific season or market event

Common Mistakes
- Not scheduling brand approval cycles as tasks with duration: Brand reviews don't happen instantly. Each design submission takes 4-8 weeks for review plus additional weeks for revisions. Missing these windows delays permits and pushes the opening date.
- Issuing FF&E purchase orders too late: Casegoods have 20-26 week lead times. Ordering 12 weeks before opening means furniture arrives after guests do. Issue POs immediately after FF&E design approval.
- Hiring the GM too late: The General Manager needs 12-18 months before opening to build the team, configure systems, negotiate vendor contracts, and manage the brand pre-opening process. Hiring 6 months out is too late.
- Opening reservations systems too close to opening: OTA listings, GDS connections, and the hotel website need to be active 3-4 months before opening to build occupancy for the opening weeks.
- Not planning a soft opening period: Soft openings let staff work out operational issues before full public opening. A hotel that skips the soft opening typically receives poor early reviews that damage reputation during the critical ramp-up period.
