About this event planning timeline
Event plans are dominated by external deadlines: venue deposits, catering final counts, printing cut-offs. This template keeps those as separate rows so you can see what has to be confirmed before you spend more.

How to use it

- Anchor event day. Set the first task to start when planning begins, then shorten or lengthen tasks until event day lands on your date.
- Add vendor deadlines. Enter each contract's cut-off (deposit, headcount, print order) as a milestone.
- Share with your team. Send a read-only link to volunteers and vendors.

- Book the venue before you announce the date publicly.
- Put the caterer's real headcount deadline on the chart; it is usually days before the event.
- Schedule the debrief before the event so it actually happens.
